Who are we?

New Leaf Recovery and Wellbeing College is part of Hertfordshire Partnership University NHS Foundation Trust (HPFT). Everyone working within the NHS has a legal duty to keep your information confidential. Similarly, anyone who receives information from us has a legal duty to keep it confidential. 

Why do we need to collect information and how do we use it?

The information collected about you when you use New Leaf Recovery and Wellbeing College can also be used and provided to other organisations for purposes beyond the College or help with:

  • improving the quality and standards of care provided
  • research into the development of new treatments
  • preventing illness and diseases
  • monitoring safety
  • planning services

We collect personally identifiable information, including your name, date of birth, email address, home address and mobile/landline telephone numbers. We also collect information about the services your receive support from and information relating to your age, gender, ethnicity, sexuality, religious belief and any disability. This information enables us to:

  • Provide information about HPFT and New Leaf Recovery and Wellbeing College services and send you information about those services.
  • Know your contact preferences.
  • Monitor our performance and understand where we could improve our service.
  • Promote equality of opportunity for people who share a protected characteristic (as required by the public sector equality duty set out in the Equality Act 2010)

In compliance with GDPR/Data Protection Act 2018 and PECR (Privacy and Electronic Communications Regulations), we are establishing an ‘opt-in only’ communication policy, meaning that we will only send marketing and information communications to you if you have explicitly stated that you are happy for us to do so. In the case of emails, there will be a clear ‘unsubscribe’ button at the bottom of each email should you change your mind.

Your Details

You must immediately inform us of changes in your contact details, including your email address or mobile phone number. That way, we can keep communicating securely with you. 

Information sharing

When relevant, we will share information with the following main partner organisations:

  • Other NHS Trusts and hospitals that are involved in your care
  • Integrated Care Boards (formerly Clinical Commissioning Groups)
  • General Practitioners (GPs)
  • Ambulance Services

Information sharing in the context of this policy means disclosure to a third-party organisation. 

We will not disclose your information to any other third parties without your permission unless there are exceptional circumstances, such as if the health and safety of others are at risk or if the law requires us to pass on information.

Storage and retention of data

We are committed to keeping your private data safe. We ensure that there are appropriate technical controls in place to protect your personal details. For example, information stored in our secure database is encrypted and accredited security controls are in place to protect it from threat.

We do not retain data longer than is either legally permissible or reasonable. We take care to destroy data responsibly, following guidelines laid down in the Data Protection legislation.
